By default Vectorworks counts symbols on Design Layers and each instance in a separate viewport as multiple instances.

 

My guess would be that you have two viewports in your drawing so you are getting 1 from the design layer and one from each viewport.

 

The solution is to edit the database criteria to specifically include the layer you want to count the objects on. Or alternatively specifically exclude the layers you don't want to count from.

 

Short version.

1. Make sure Database Headers are visible (Worksheet View menu)

2. Right click in the database row header (e.g. 3, not 3.1, 3.2, etc.)

3. Choose Edit Criteria.

4. Click the More Choices button at the bottom left.

5. Set the new criteria to to be Layer IS "Name of your design layer"

6. Click OK.

 

Ask again if you need help in setting up the appropriate criteria.

So the criteria you are using is looking for every object which has a Plant Record attached. If you are using viewports, this will give you an extra object for each viewport as well as the original object on the design layer.

 

Edit the criteria. Click the More Choices button at the bottom left. Set the new line to be Layer is Fred.  Replace Fred with the actual name of the design layer that has the plant objects on it. Click the OK button. Your worksheet should now recalculate and show only the objects on the design layer and ignore the objects shown in viewports.

Thank you for all your time Pat, it did not work though.  The team in Newbury have solved the problem for me now.

The reason your quantity column is not showing the correct quantity, is because you have not selected the quantity field in the row header (in cell B2). You have selected the following instead:
 ='Plant'.'Plants per column'

 Whereas, it should read:
 ='Plant Record'.'Quantity'

 You can change it by clicking the arrow in cell B2 and setting it as follows:

 You will also need to use Sum Values, to ensure that the quantities are added up.


 In cell A2, you also don't have the plants summarised, so you are getting a row for each group instead of a summary of all plants with the same name. To change this, click the arrow and check the box to Summarize Items. You could also have them Sorted in alphabetical order if you wish.

My guess is that you have plants on a Design Layer and then also have two viewports. The worksheet is counting each as a separate instance.

 

Right Click on the Database Row Header (i.e. 3, not 3.1, 3.2, etc. If you don't see it go to the worksheet View menu and make sure there is a check mark next to Database Headers) and select Edit Criteria.

 

Click the More Choices button and add a Criteria that say Layer is "Name of Design Layer with the plants on it"

 

Your schedule should now have the correct counts.
